Paperless-ngxWhat you're getting

Paperless-ngx turns the pile of PDFs, scans and letters scattered across your drives and inboxes into one searchable, tagged archive. Drop a document into the consume folder and it runs OCR over the page, reads the text, guesses the correspondent, document type and tags, and files it away. Every page becomes full-text searchable, so the receipt from three years ago is a search away instead of a lost cause.

It is built to be lived in: give the household or the team their own logins, set matching rules so incoming documents sort themselves, pull files straight off a network scanner over SFTP, and keep everything as ordinary files plus a small database so you are never locked in. Running it in the region you choose keeps your tax records and business paperwork close to home, and this managed plan handles the OCR engine, the background workers, the queue and the broker for you.

Replaces a paper filing cabinet: Every scan, receipt, contract and letter OCR'd, tagged and full-text searchable in one archive you own, instead of a drawer of paper or a foreign document cloud.

On CoreHost

  • Automatic OCR makes every scanned page full-text searchable
  • Auto-tagging by correspondent, document type and matching rules

GuideA document archive that files itself

How documents flow through Paperless-ngx

Paperless-ngx watches a consume folder. Anything that lands there, from the web upload, a phone browser or a scanner that saves to a network folder, is read with OCR, given a title and a date, matched to a correspondent and a document type, tagged and filed. The original file is kept as it was, next to an archived PDF with a searchable text layer.

Nothing about this needs a desktop app. You upload, search and download in the browser, and the archive keeps working while your computer is off.

An example: household and small business paperwork

  1. Create correspondents for the senders you deal with most: your bank, your energy retailer, your accountant, the tax office.
  2. Create document types such as Invoice, Receipt, Statement, Contract and Payslip.
  3. Add tags for what you will search by later: the financial year, the property, the car, health.
  4. Set matching rules, for example: anything that contains your account number is a Statement from your bank. A rule set to Auto learns from the documents you have already filed.
  5. Upload a first batch and check how each one was filed. Correct the ones it got wrong; automatic matching gets better as it sees more.
  6. At the end of the financial year, filter by that year's tag and the type Receipt, and you have every receipt in one list to send to your accountant. Save the filter as a view on the dashboard so it is one click next year.

Getting documents in

Many network scanners can save straight to an SFTP server. Use the SFTP details in the Files tab of your app and point the scanner at the consume folder. From a phone, upload in the browser or use a scanning app that can send files over SFTP. Paperless-ngx can also check an email inbox over IMAP and file the attachments; add the account under Mail in the app.

Storage, backups and leaving

Documents count towards your plan's storage. The Power plan includes 20 GB, and you can add storage in 25 GB blocks from the panel. Daily backups include the documents and the database, and encrypted backups are stored in the EU.

Your documents are ordinary files. Download any of them from the web interface, or copy the whole archive out over SFTP whenever you like, so you are never locked in.

Moving to CoreHostMove your existing Paperless-ngx here

Already running Paperless-ngx on PikaPods, a VPS or your own server? You can bring your data with you. Deploy the app here first, then follow the route below, and keep your old app until you are happy.

Tell us what you are moving

The simplest move is to drop your scans and PDFs over SFTP into the consume folder, where they are read and filed again. To keep tags, correspondents and notes, open a ticket first: Paperless needs its own exporter run on the old server.

Ways to move it

  • Do it yourself. Deploy Paperless-ngx, let it start once, then use the steps on this page, with SFTP and the file manager in the Files tab. A backup taken first gives you a clean point to go back to.
  • Ask us to move it. Open a ticket from your control panel with the app and where it runs now. Support will tell you what can be moved and help you do it, and nobody touches your old app.

Coming from PikaPods? Switch on SFTP in the pod's settings, stop the pod and copy its files; PikaPods documents this as its manual backup for migrations.
